NeoNurture Physiotherapy (“I”, “me” or “my practice”) is committed to protecting the privacy of all babies, children, parents and families who use my services. This Privacy Notice explains how I collect, use, store and protect your personal information in line with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.

3. What Data I Collect

I collect and process only the minimum amount of information needed to provide safe, effective care. This may include:

Personal information

  • Parent/carer name
  • Baby/child’s name & date of birth
  • Address
  • Email address
  • Phone number

Health information

  • Medical history
  • Pregnancy and birth history
  • Developmental information
  • Clinical assessment findings
  • Reports from other healthcare professionals where appropriate
  • Treatment notes and outcomes

Website or enquiry information

  • Details submitted through phone messages, whatsapp, Google Forms or social media
  • Any information provided by email

4. Lawful Basis for Processing Data

Under UK GDPR, my lawful bases are:

For personal data:

  • Performance of a contract – to provide physiotherapy services
  • Legitimate interests – running and managing the practice

For health data (special category data):

  • Provision of health or social care (UK GDPR Article 9(2)(h))

This means I do not need additional consent to store or use clinical information, as it is required for care.

5. How I Use Your Information

I may use your personal data to:

  • Provide physiotherapy assessment and treatment
  • Share relevant information with other professionals involved in your child’s care where appropriate (e.g., paediatricians, GPs, OTs)
  • Prepare clinical reports
  • Manage bookings and communication
  • Maintain accurate clinical records
  • Meet legal, regulatory and professional obligations

I do not use your data for marketing without explicit consent.

If you choose to join my mailing list I ask for your personal data and your consent to use it. I will send you information and updates following your sign up, and hope they will be useful and interesting to you. You can ask me to remove you from the list at any time (see 9. below).

6. Sharing Your Information

I only share information when it is necessary for safe and effective care. This may include:

  • NHS or private healthcare professionals involved in your child’s care
  • Your GP or paediatrician
  • Safeguarding services (only where legally required)

I will always discuss this with you unless there is a legal reason not to.

I do not sell or share data with third parties for marketing purposes.

7. How Your Data is Stored

Your data is stored securely using:

  • Password-protected files 
  • iCloud storage (Apple)
  • Google Forms

These systems use encryption and industry-standard security. Access is restricted solely to the data controller (Anna Lukens). Emails I send are encrypted in transit between my email server and yours (assuming your server supports this). Whatsapp messages are also encrypted end-to-end.

8. Data Retention

Health records for children must be kept until the child is 25 years old. After this time, data is securely deleted or destroyed.

9. Your Rights

You have the right to:

  • Access your data
  • Request corrections
  • Request deletion (where legally appropriate)
  • Restrict or object to processing
  • Request transfer of your data
  • Make a complaint to the ICO

10. Data Breaches

If a data breach occurs that risks your rights or privacy, I will notify you and the ICO within 72 hours as legally required.

11. Changes to this privacy notice

This notice may be amended from time to time. If I change it the alterations will be published on this website page.
